Executive Assistant to the President & Founder!

Our US-based client is a boutique advisory firm that integrate governance, legal strategy, and behavioral science to help boards, executives, and investors anticipate risk and strengthen decision-making. We operate across the U.S., Africa, Europe, and Latin America.
About The Role
The Founder operates across multiple time zones, maintains an active public presence, leads client engagements, and speaks at high-profile forums. This role requires someone who can think ahead, communicate with polish, and exercise sound judgment independently — especially when she is unavailable.
What You Will Own
Inbox & Communications Management
Triage incoming email daily — distinguish what requires the Founder's attention from what can wait, be handled, or delegated
Draft correspondence on her behalf, maintaining her voice and communication standards
Monitor email during travel or unavailability and ensure no thread goes cold
Flag time-sensitive matters proactively
Calendar & Time Management
Manage a complex calendar across multiple time zones
Protect focus time and flag scheduling conflicts or overload before they become a problem
Coordinate scheduling with clients, partners, event hosts, and internal team members
Capture action items after meetings and track through to completion
Travel & Event Logistics
Assist with travel coordination as needed, including logistics, itineraries, and scheduling
Support conference and speaking engagement logistics, including preparation of materials
Assist with event recruitment outreach — identifying contacts, tracking RSVPs, and managing follow-up
Relationship Management
Track key contacts and relationships
Support follow-up with clients, partners, collaborators, and event participants
Assist with outreach to prospective contacts as directed
Media & Visibility Support
Monitor the Founder's LinkedIn feed and surface relevant posts, conversations, and contacts worth engaging
Draft suggested comments or connection notes for her review
Monitor a defined set of industry publications and flag relevant articles and commentary opportunities
Help maintain a consistent public presence between content publication cycles
Research & Briefings
Conduct targeted background research on individuals, organizations, and opportunities
Compile briefing materials — synthesized summaries ready to use, not raw links
Track deadlines and milestones across active projects and commitments
Support additional projects as assigned
What We Are Looking For
Prior experience in a professional setting: supporting an executive, working in a client-facing role, or similar; what matters is that you already know how to conduct yourself at a high standard
Extremely professional demeanor and communication style: written and spoken English must be strong and polished
High level of trustworthiness and discretion; ability to manage confidential information with maturity and sound judgment
Proactive mindset with strong ownership mentality
Ability to think ahead, prioritize effectively, and adapt quickly in a fast-moving environment
Strong attention to detail and consistent follow-through
High emotional intelligence and interpersonal awareness
Intellectual curiosity and willingness to learn: familiarity with AI governance, compliance, or professional services is a plus, not a requirement
Comfortable working independently in a remote environment
Comfortable with or willing to learn tools such as Box, Microsoft Teams, and Microsoft Office; Google Workspace a plus
Schedule
This is a full-time role aligned with EST working hours. Some flexibility outside core hours may be required during travel periods or around key events. The exact schedule will be confirmed during the interview process.
PTO policy
You'll have 12 business days of paid time off (PTO) per year as a starting point. You may also take time off to observe holidays, which should be coordinated in advance with the company to ensure coverage of your responsibilities.
Compensation:
$1,800 USD/month
